Dispatcher Dashboard

When you log in as a dispatcher, the home screen shows an Organization Inspections table — every inspection in your organization in one place. This guide covers how to read the table, assign and reassign work, create new inspections, and import inspections in bulk from a CSV.



The Inspections Table

The table lists every inspection in your organization. The columns adapt to your screen size so you always see the most important information.

An Edit button appears in the rightmost column of every row.



Sorting the Table

Click any column header to sort by that column. Clicking cycles through three states:

1. Ascending (arrow up)
2. Descending (arrow down)
3. Default order — returns to Date Ascending


The active sort is shown with an arrow icon on the relevant header.



Reading Status at a Glance

Each row has a colored left border that matches the inspection status. The status cell uses the same color.


StatusWhat It Means
UnassignedNo inspector has been assigned. Needs a dispatcher action or an inspector to claim it.
AssignedAn inspector has been assigned but has not started the form.
In ProgressThe inspector has started filling out the form.
CompletedThe inspection has been submitted successfully.



Filter Presets

Above the table, quick-filter chips narrow what is displayed:

All — every inspection in the organization
Today Only — inspections scheduled for today
Custom filter — a modal for filtering by status, date range, or other fields


When a custom filter is active, the filter icon shows an indicator dot.



Editing an Inspection

Tap the Edit button on any row to open the edit modal. From there you can:

Reassign the inspector — pick a different team member
Change the scheduled date
Update notes for the inspector to see on their card
Edit the construction manager contact information
Change the status (for example, mark as cancelled)


Changes take effect as soon as you save. The assigned inspector sees the updated information the next time they refresh their dashboard.



Creating a New Inspection

The Create New Inspection button opens a modal to set up a single inspection manually. You can:

1. Pick an existing project, or create a new one
2. Choose the inspection type
3. Set the scheduled date
4. Assign an inspector (or leave unassigned for someone to claim)
5. Add notes and construction manager details


When you save, the new inspection appears in the table immediately.



Bulk Inspection Dispatch (CSV Import)

For scheduling a week’s or a month’s worth of inspections at once, use the Bulk Inspection Dispatch tool below the table. You upload a CSV file and the app creates one inspection assignment per row.


Step 1: Download the template. The dispatch panel includes a Download Template link. Use this template every time — the column names and order matter.


Step 2: Fill it in. Each row becomes one inspection. Include project, address, inspector, scheduled date, and inspection type. Leave the inspector column blank if you want the inspection to appear as Unassigned for anyone to claim.


Step 3: Upload. Click Upload CSV and choose your file. The app processes it row by row.


Step 4: Review the result. When processing finishes, the panel displays a summary:

Succeeded — number of rows successfully turned into inspections
Failed — number of rows rejected, with an error message for each


The table refreshes automatically so you can see the new inspections right away.


Common upload errors:

Unknown inspectorThe inspector name or email in the row does not match anyone in your organization. Check spelling, or leave the column blank to create an unassigned inspection.
Invalid date formatUse the date format shown in the template. Avoid custom date formats from Excel.
Unknown projectThe project reference in the row does not match a project in your organization.
Missing required columnMake sure you are using the current template and have not removed any columns.


Rows that succeeded are kept — the failed rows do not roll everything back. You can fix just the failed rows in your CSV and re-upload them on their own.



Keeping the Table Current

The table reflects server state as of the last sync. To refresh:

• Tap Refresh Inspections below the table
• Pull down on the table


The last sync time is shown near the title with a clock icon. If you are offline, the table still shows the last known state — but you cannot create, edit, or dispatch inspections until you reconnect.



Tips for Dispatchers

1Sort by status to see everything Unassigned at the top when you start the day.
2Use "Today Only" to focus on what needs dispatching right now.
3Download the CSV template fresh each time you do a bulk upload. It changes when new fields are added.
4Leave the inspector column blank if your team prefers a "self-serve" model where inspectors claim jobs themselves.
5Refresh after edits if you are editing the same inspection multiple times to make sure you are seeing the latest state.



Frequently Asked Questions


Q: I edited an inspection but the inspector still sees the old information. Why?
A: The inspector’s device only pulls server changes when they refresh their dashboard or reopen the app. Ask them to tap Refresh Inspections on their home screen.


Q: My CSV uploaded but some rows failed. Are the successful rows saved?
A: Yes. The upload does not roll back on partial failures. Review the error list for the failed rows, fix them in a separate CSV, and upload just that file.


Q: Can I delete an inspection I created by mistake?
A: Open the Edit modal for the row and change the status to cancelled, or contact support to remove it entirely.


Q: I do not see the Create New Inspection or CSV upload buttons. Why?
A: These tools are only available to dispatcher accounts. If you are logged in as an inspector, they are hidden. If you believe your account should have dispatcher access, contact your organization administrator.


Q: Why does the table only show 1,000 inspections?
A: To keep the dashboard responsive, the list is capped at 1,000 rows. A yellow banner appears when the cap is hit. Use the filter presets or custom filters to narrow the view.
